ELGC Hub app handbook
A guide to each screen of the ELGC Hub app on your phone. Pick the screen you need, or read from top to bottom.
Today
Open the app and see what today needs: tasks due, overdue tasks, today's reminders and the latest times you were mentioned. Tap a line to open that exact task.
Common questions
Where does Today get its tasks from?
From your Tasks list itself: tasks due today, overdue tasks and reminders set for today. Nothing to copy — tasks created in the app or on the web both show up here.
What is the bell in the top corner for?
The bell opens your notification inbox. The number on it is how many are unread — reading on the web or in the app lowers it the same way.
Why is there a summary notification every morning?
That is the morning summary: at 7:30 company time the app tells you how many tasks you have today and how many are overdue. Turn it off in Notification settings if you do not want it.
Tasks
All your tasks in one place, already split into tabs: Today, Upcoming, Overdue, Assigned by me, Following. Swipe a task to mark it done or snooze it. Tap it to see details, small steps and comments.
Common questions
What belongs in here?
Anything with a deadline and someone responsible: "Call Lan back on Thursday", "Send the quote before the 20th". It is not a log of what you already did — that is what Notes are for.
What are the "Assigned by me" and "Following" tabs?
"Assigned by me" lists tasks you gave to others — see how far they got without asking. "Following" lists tasks someone else does but you were added to stay informed: new comments or completion are sent to you.
What is the difference between assignee, collaborator and follower?
The assignee is the one responsible — one per task. Collaborators help out and get the same notifications as the assignee. Followers only need to know, they do not have to do anything.
How do I write down a task with several steps?
Open the task and add small steps to its checklist. Tick a step when it is done; the task row shows progress, e.g. 2/5.
What about a task that repeats every week?
Choose Repeat when you create it: daily, weekly, monthly or on working days. When you finish this one, the next one appears by itself with its steps unticked, ready to do again.
Why does the app ask more questions after a call?
Finishing a call, a meeting or a Zalo message asks for the outcome and suggests booking the next step — so the customer is not forgotten after the call. Skip it if you do not need it.
Where do I discuss a task?
Open the task and write in the comment box at the bottom. Type @ and pick a name to bring a colleague in. The assignee, collaborators and followers are all told about new comments.
The + button (quick add)
The + button in the middle of the bottom bar is the fastest way to write a task down before you forget. Type one line the way you would say it, e.g. "tomorrow 9am call Nam". The app works out the date, time and assignee and shows them so you can check before saving.
Common questions
Quick add: what can I type so it is understood?
Dates: today, tomorrow, the day after, Monday … Sunday, next week, 25/10. Times: 9am, 9:30, 14:00, morning, afternoon, evening. Repeats: every day, every Monday, monthly. Priority: !1 (most urgent), !2, !3. Assignee: type @ then a name. Vietnamese without accents works too. Anything unclear is left empty rather than guessed.
What if the app gets it wrong?
Each part the app understood shows as a small chip under the line you typed. Tap a wrong chip to remove it, then pick again. When it is not sure, the app leaves the field empty instead of guessing.
What else can the + button do?
Write a note, take a photo attached to a task or a customer, set a reminder. When your company opens more parts (customers, opportunities…), the + button gets those items too.
Remind me
Want a nudge about a customer, a quotation or a task at some point, without creating a new task? Tap "Remind me" right on that record and pick a time: in an hour, this afternoon, tomorrow morning, or your own time.
Common questions
How is a reminder different from a task?
A task is something to do, with someone responsible and a done state. A reminder is just a bell for you alone, e.g. "look at this quotation again at 3pm" — nobody else gets it. Click "Remind me" on a customer, an opportunity, a quotation or a task.
What are the Done and Snooze 1 hour buttons on a reminder for?
To deal with it right away without opening the app: Done marks the task as done, Snooze 1 hour reminds you again an hour later.
Will I still be reminded if my phone is offline?
Yes. The app schedules the next 7 days of reminders on the phone itself, so they ring on time even without a connection.
Notifications
All your notifications in one inbox — the same inbox as the bell on the web. Each line says why you got it: you were assigned, you were mentioned, you are following, or a reminder is due. Tap it to open that exact task or record.
Common questions
Too many notifications — how do I filter?
Use the tabs at the top: All, Unread, Mentions, Assigned. To get fewer, turn some groups off in Notification settings.
What does "Later" do?
It hides that notification until the time you pick. Then it comes back as unread and alerts you once more.
I read it on the web — will the app still show it as unread?
No. The web and the app share one inbox: read in one place means read in both.
Why did several comments alert me only once?
Several updates on the same task within a few minutes are grouped into one notification, e.g. "3 new comments". Your phone does not buzz non-stop and nothing is lost — the inbox still has them all.
Notification settings
Choose what you get and when: turn each group of notifications on or off, set quiet hours, pause for a while. Set it once and it applies to both the web and the app. Open it from Me → Notifications.
Common questions
If I turn a group off, do I lose those notifications?
No. Turning it off only means the phone does not buzz or show it on the lock screen. The notification still sits in the app inbox and on the web bell, ready to read any time.
What are quiet hours?
Hours when the phone stays silent, 22:00 to 7:00 company time by default. Reminders you set yourself and urgent alerts still come through; everything else waits in the inbox until morning.
In a meeting and want silence for a while?
Choose Pause for 1 hour or Pause until tomorrow morning. When the time is up, notifications turn back on by themselves — nothing to remember.
It is on, but my phone still does not alert me?
Check two places: the "Receive notifications on this device" switch under Me, and the notification permission for ELGC Hub in your phone settings. Both must be on.
Directory
Find colleagues in your company by name or department, then tap to call, message on Zalo or email.
Common questions
Who is in the directory?
People currently working at your company. People who have left do not appear. If something is wrong, ask your administrator to fix it on the web.
When the signal drops
With a weak signal or no connection you can still add tasks, mark them done, comment and take photos. The app keeps them on the phone and sends them when you are back online; the strip at the top shows how many actions are waiting.
Common questions
If I close the app with actions still waiting, are they lost?
No. Waiting actions are stored on the phone and are sent when you open the app again. Signing out with actions still waiting asks you first; they are sent the next time you yourself sign in.
What if someone changes the same task while I am offline?
If the task changed in the meantime — say a colleague already marked it done — the app tells you and lets you choose, instead of silently overwriting.
Can sending again create duplicates?
No. Every action carries its own code; however many times it is resent, the server records it once.
Me
Your account and everything about this phone: lock the app with a PIN or fingerprint / Face ID, turn notifications on this phone on or off, signed-in devices, language, light / dark, text size, change password.
Common questions
I see a device I do not recognise in signed-in devices?
Revoke it right away, then change your password. Changing the password also signs out every other device and keeps only the one in your hand.
Are the app and the web two different accounts?
No. Same account, same password, same data. A task created in the app shows on the web straight away, and the other way round.
Why can't I see an item my colleague has?
What appears in the app follows the permissions your company gives each person. Ask your company administrator if you need more.
Still unsure? Ask your company administrator — the person who gave you your ELGC Hub account.
